Privacy policy

The owner and operator of your personal data is Texnologiya Transfer Ofisi LLC ("TTO", "we"). TTO is a separately registered legal entity operating within the Vantage Events group of companies.

Required by the Law «On Personal Data», Articles 8.2.2 and 11.2.1, and the Law «On Information, Informatisation and Protection of Information», Article 13-2.2.

We collect only what you type into our forms. There are five:

• Contact form: name, e-mail, phone (optional), organisation, topic and message.
• Invention disclosure: name, position, employer, contact details, co-inventors, a short description, field, readiness level, whether it has been disclosed and, if you choose, your self-check result.
• Company technology request: name, position, company, contact details, a description of the need and the codes of technologies you are interested in.
• Startup application: team, project, stage and contact details.
• Vantage Task demo request: name, organisation, contact details and a short note on your project.

Technical data: to stop repeated submissions, your IP address is held in server memory for 10 minutes and never written to disk. Standard web-server logs (IP address, time, page) are kept for up to 30 days for security.

We do not intentionally collect special categories of data: race or ethnic origin, family life, religious belief, health or criminal record. Please do not enter such data in the forms.

Special categories as listed in the Law «On Personal Data», Article 2.1.6.

• To review your request, contact you and answer your question.
• To assess an invention disclosure and prepare a written preliminary opinion.
• To provide a service we have agreed and meet our contractual obligations.
• To keep the website secure and prevent abuse.

We use data only for the purpose stated in the form and only as much as that purpose needs. We do not sell your data or give it to others for advertising.

Legal basis: the consent you give when sending a form and the information you submit yourself in writing. Some records, such as accounting and tax documents, are kept because the law requires it.

Law «On Personal Data», Articles 8.1, 9.1, 9.2 and 9.6.

An invention disclosure is seen only by the manager working with you and the colleague carrying out the assessment. Everyone who handles the data gives a written undertaking not to disclose it.

Please put only a short, non-confidential summary in the form. We ask for technical details, drawings and results after a confidentiality agreement (NDA) is signed. Under the law, trade-secret protection arises only from a written agreement.

• Our hosting provider, whose servers run the website and forms (Hostinger International Ltd., server in Germany (Frankfurt)).
• The providers we use for e-mail and for managing requests.
• Public authorities, only where the law requires it and only to the extent required.

Providers process data only on our instructions and under a contract with us. We share your data with any other third party only with your written consent.

Law «On Personal Data», Articles 9.9, 13.1 and 13.2.

Some providers' servers may be located outside Azerbaijan. By ticking the consent box when you send a form, you also agree to your data being transferred to those servers. Data travels over an encrypted connection.

Law «On Personal Data», Articles 14.2-14.4.

• Requests that do not lead to a contract: 12 months after the last correspondence.
• Invention disclosures that do not lead to a contract: 24 months after the last correspondence, so that the history can be restored if you come back with the same invention.
• Matters that lead to a contract: for the life of the contract and then for the period the law requires.
• Web-server logs: up to 30 days.

When the period ends we delete the data or anonymise it so that you can no longer be identified.

Law «On Personal Data», Articles 8.2.6 and 9.4.

• The website works only over an encrypted connection (HTTPS).
• Only staff who need the data for their work can see requests.
• We keep backups and log the operations carried out on the data.
• The forms are protected against automated submissions.

Our system has no certificate of conformity and has not undergone state expertise. Number in the state register of personal-data information systems: to be added before launch.

No system is completely secure, but we take the technical and organisational measures the law requires.

Law «On Personal Data», Articles 5.8, 9.12, 11.2.3, 11.2.4 and 15; Cabinet of Ministers Decision No. 161.

• To find out what data we hold about you, where it came from and who it was given to.
• To see the data and get a copy.
• To have wrong data corrected and data we no longer need deleted.
• To object to collection and processing. You do not need to give a reason, and processing stops immediately.
• To object to a decision based only on automated processing. The website makes no such decisions.

Write to info@tto.az or send a written application. The law also recognises requests signed with an enhanced electronic signature. We may ask for information to confirm your identity.

Requests are free. We reply within 7 working days at the latest, extendable by another 7 working days if we need to contact someone else. If we cannot meet a request, we tell you why in writing within 5 working days.

If you are not satisfied with our answer, you can complain to the Ministry of Digital Development and Transport of the Republic of Azerbaijan or to a court.

Law «On Personal Data», Articles 7.1-7.5, 12.1, 12.4 and 12.6; Presidential Decree No. 361, 3.1.

You can withdraw your consent at any time by writing to info@tto.az. We then stop processing the data and sharing it. Withdrawal does not affect processing carried out before it.

Law «On Personal Data», Articles 8.2.5 and 13.3.

A person under 18 may send a form only with the consent of a parent or legal representative. This also applies to school and university students with an invention. If we learn that a form was sent without such consent, we delete the data.

Law «On Personal Data», Article 8.3.

The website uses no advertising, tracking or analytics cookies, and no third-party analytics service is installed.

• Your shortlist in the technology catalogue and your view choice stay in your browser.
• The self-check result stays only in the open tab and is deleted when you close it. It reaches us only if you send the disclosure form.

You can delete this information in your browser settings at any time. If we ever add analytics, it will run only after you agree, and we will update this policy.

When we detect a cyber incident we report it to the national CERT straight away, as the law requires. If it affects your data, we will also tell you.

Law «On Information, Informatisation and Protection of Information», Article 20-11.2.

We update this policy when the website or the law changes; the effective date is shown at the top. We keep earlier versions and will send them on request. If a change significantly alters how your data is used, we ask for your consent again.
